Systems for businesses that run on quotes, jobs and site work

Enquiries turn into quotes, quotes turn into jobs, jobs need people and materials, and everything has to be invoiced and closed out. When that chain runs on memory and spreadsheets, money leaks out of the gaps. I build the systems, procedures and compliance paperwork that keep it moving.

Sound familiar?

  • Quotes go out and nobody follows them up
  • You cannot see which jobs are booked, live, finished or still to invoice
  • Pricing depends on who writes the quote
  • Materials and subcontractors are arranged by phone and WhatsApp, with no record
  • SafeContractor, CHAS or RAMS paperwork is a scramble every time
  • Most work comes through word of mouth and you want more local enquiries

How I help

01

Sales pipeline and quoting

Every enquiry tracked to won or lost, with pricing formulas, quote IDs and follow up reminders.

02

Live job and project tracking

Booking, scheduling, site progress and close out visible to everyone who needs it.

03

Procurement and contractors

Materials, suppliers and subcontractors tracked against each job.

04

Compliance and RAMS

SafeContractor and CHAS renewals, RAMS and method statements, and SOPs for site and office.

05

KPIs and job reporting

Quotes won, jobs completed, invoices outstanding and margins, reviewed every week.

06

Local SEO and website

Google Business Profile, service and area pages, and a website that helps you win commercial work.

What changes

Refurbishment, engineering, mechanical services, lettings and waste businesses all lose money in the same places: a quote never chased, a job finished but not invoiced, a supplier order nobody owns. One system from first enquiry to final invoice closes those gaps.

  • Every quote tracked and followed up

  • A clear view of live jobs and what is still to invoice

  • Better control of materials and subcontractors

  • Accreditation renewals without the last minute scramble

  • More local enquiries from search

How it works

  1. Initial conversation

A call about how work comes in, how it is priced and where jobs get stuck.

  2. Review and mapping

I follow a job from enquiry to invoice with your team and map every hand over.

  3. Recommendations and build

Quote boards, job tracking, procurement and reporting built and tested on real jobs.

  4. Support and improvement

Training for office and site staff, then changes as the business takes on more work.

How pricing works

I offer hourly and project options, depending on the work involved. Short calls and quick questions are not charged.

Defined pieces of work can be quoted at a fixed price after an initial conversation.

Questions

We already use Monday.com. Can you improve it?

Yes. I often review and rebuild boards that have grown messy, keeping the data you already have.

Can one system handle residential and commercial work?

Yes. They usually need separate sales boards with a shared view of live projects, and I set that up.

Do you write RAMS and method statements?

Yes, in your branding, for specific jobs or as templates your team can reuse.

Can you help us win more commercial work?

Clear systems, current accreditations and a consistent online presence all help when you tender. I work on all three.

Do site staff need to use the system?

Only the parts that matter to them, usually from a phone. The office gets the full picture.
